With the merger of 17 brands in the spring of 2021, Vikingbus cemented its position as one of Denmark's largest bus fleets in the transportation sector. Not only did the merger make Vikingbus an industry leader, it also added a lot of new employees as the company went from 150 employees to 2,000.
This put pressure on their old payroll system from Lessor, says Tina Sloth Christiansen, Payroll Team Leader at Vikingbus.
"It was too slow and complicated to work with. We couldn't get the job done quickly and efficiently," she says.
So Vikingbus set out to find a new payroll system. A number of options were considered, but the cloud-based payroll system LessorLøn was chosen in the end.
That part of the process was straightforward. The next part was anything but.
Vikingbus worked with two IT partners to implement the solutions, but it proved to be a difficult task. Especially because its employees work according to several different collective wage agreements.
"Some things were not set up correctly, which resulted in a lot of errors. The project was dropped and we had to go back to our old system," says Tina Sloth Christiansen.
And so they were back to square one with an old payroll system and no IT partner.
LessorLøn now working as it should
Even though Vikingbus hadn't had the best initial experience with LessorLøn, they decided, after a thorough analysis, to give the payroll system another chance. This time with Cepheo as their IT partner.
It now works the way Tina Sloth Christiansen wants it to:
"LessorLøn does what I need it to. Namely, running the payroll. It generates a pay slip, and it has to be correct. I get that with LessorLøn," she says.
The cloud-based payroll system automates payroll administration and integrates with ERP systems such as Microsoft Dynamics 365 Business Central. LessorLøn contributes to faster and more reliable payroll processing and reduces manual data entry. With its intuitive design, the system makes it easy to navigate and perform payroll tasks efficiently, making it an ideal solution for businesses of all sizes.
And that is the case at Vikingbus, where the payroll process has become faster and more efficient.
"The fact that it is all in one system makes it smart. LessorLøn works 99% of the time. Most importantly, wages are paid correctly and on the right date," says Tina Sloth Christiansen.
According to her, the one percent of the solution that doesn't work according to plan is that negative salary is not automatically corrected in taxation. The same is true of holiday pay.
"But otherwise we are very satisfied," she says.
Second time lucky
The bus company's first attempt to find an IT partner didn't end well, but the second time would prove to be more successful.
"Several IT companies had said the project would be too big for them, but we chose Cepheo because they delivered a good presentation. They knew what they were talking about. That gave us full confidence in them," says Tina Sloth Christiansen.
She also praises the payroll team at Cepheo.
"Collaboration with the payroll team has been impeccable. They respond quickly when we mail them. It's been absolutely top notch," she says.
The next stop on Vikingbus' digital journey now awaits: the further integration of their systems.
"All we need now is to run a single system that integrates with HR for it to be totally awesome. That will make manual work much easier, because all master data will be automatically updated and we won't have to do any manual entry," concludes Tina Sloth Christiansen.
Vikingbus expects to be fully integrated into one system by early 2025.
